The way you work is changing. To keep up, you need a work management platform that gives your team everything they need to be more productive, in one location – a smarter, more connected platform where your strategy, resources, and work align.
Card templates come in handy when you need to create complex cards of similar predefined structures, subtasks and documents quickly. KanBo’s powerful card templates are designed with customization and flexibility in mind and will help your team share actionable knowledge so you can benefit from the experiences of others. A card template can be created of any other existing card or can be created as a new one exactly the same way as you were working in a regular card. You can even collaborate with others while building your perfect card template.
All Card Templates are stored by the Board and you can set any custom Card Template you built as a default for creating new Cards in that Board ensuring all cards have the similar structure – if needed you can adapt cards created from templates to your requirements.
Bring perspective to dates
Whether you are planning a conference, managing an editorial calendar, or organizing other time critical work the calendar view lets you display cards’ dates in a daily, weekly or monthly perspective.
The calendar view is one of the views available to view your KanBo board and provides an interactive and easily customizable view of the cards on a calendar. The calendar view displays all types of dates from cards. The time between the start date and the due date will be displayed as a date range. Easily manage cards by dragging and dropping them on the calendar to automatically update their dates.
Find your deep work focus
KanBo will help you to balance the need for staying on top of what is going on and collaboration with the need for sustained attention and quietness. You can set your own parameters to balance expectations of “always on” with need for uninterrupted time to focus. With the possibility to set cards, boards or people on mute you can maintain the attention necessary to do your job. Snoozed mute option is especially powerful because it allows to mute something or someone for a predefined period – after that mute disables automatically and you are in the loop again. Carve out focus time with Do Not Disturb (DND) to pause notifications. You can set a time frame for how long you want not to be disturbed. Your co-workers will see when you’re in DND mode and know not to expect a response right away.
Board Activity Stream
The complete story recording of a board
The KanBo Board Activity Stream (BAS) helps you and your team stay up to date with the most important updates to your conversations, tasks, documents, milestones, status updates and other KanBo items. Rather than having to email updates or comments, the activity stream allows your team to share information quickly and easily in real-time. The stream style and format is similar to a newsfeed and can only be seen by a team that has access to the board. Since each card in the board records its own contextual activity stream the Board Activity Stream is a chronological representation of any action that took/takes place in the board. If you have not been visiting a board for a while because of a holiday you can quickly review the Board Activity Stream and get briefed what happened in the last hours/days/months without taking away any precious time from your team.
Share cards externally
Beyond any external file sharing
Today employees need to collaborate with people outside the organization, like vendors, partners, suppliers, contractors, etc. every day to satisfy customers.
With KanBo we empower your employees to quickly and securely share a specific part of a context of work that is needed by the external person to do the required job without exposing sensitive information. This contains communication, coordination and documents, that are always up to date and in real time. The external person can only access information in the card that was shared and cannot see the entire board where the shared card exists in – that can be only accessed by your employees. All externally shared cards are easily identifiable as shared. It is also possible to have sharing automatically disabled after a certain time interval.
With the definition of sharing classifications your organization can balance risk and compliance accordingly with its compliance policies. KanBo boards owners can only apply these classifications when they want to allow sharing of cards. The external party does not require any KanBo infrastructure nor KanBo licenses to participate.
Maintaining the big picture
Sometimes plans, projects or cards get big, in fact, too complex so you start to lose perspective on all the moving parts and how they relate to each other. To tackle it you will be breaking down bigger work items into smaller ones. During this iterative process KanBo will support you to create a structure of smaller work items by using multiple todo-lists, dragging todo-items between them and changing the names of them effortlessly until you end up with a few perfect todo-lists containing items to be completed in a certain order.
At this moment KanBo will help you to quickly convert these todo-lists into Subcard Groups and the items contained into sub-cards (child cards of the parent card where you created the todo-lists in the first place). During this conversion you can even choose a different board than the one where the parent card lives, where the sub-cards will be created for completion. The parent card can have child cards scattered across many boards where special teams deliver the work needed to accomplish the parent card.
Having the work broken down in that way you can see the status of each child card from within a parent card at a glance, visually track the completion of children cards, and quickly navigate to any related card, even between boards in a snap.
