In this article, you will find all features that have been shipped in the release 2.5 of KanBo (2.5.0-02b2d3c 2017.06.05), eventually what bugs were fixed.
Follow the update procedure to get your KanBo up to date!
With KanBo 2.5 we introduce huge changes to User Interface (UI). Not only we have implemented a new graphical design but we also have refactored the mechanics under the hood of the UI to leverage the possibilities for the state of the art React framework. All these changes result in a richer User Experience and up to 10x faster performance.
Deactivate a user
Another feature that was requested many times by our customers – Deactivate User. By doing so the deactivated user loses access to KanBo, a license becomes free to be used for another user. Of course, all comments & actions performed by the deactivated users stay in KanBo – no information is deleted or lost. Moreover, you can activate the same user again in the future.
KanBo Search based on SOLR
KanBo Search is a hybrid solution using its own KanBo search engine optimized for Kanban cards and the search engine from SharePoint/Office365. KanBo compiles the search results into one easy to understand result page, which consists of 4 sections:
- Cards – In this section, you will find all cards that are matching your search phrase. The results are ordered using an algorithm that computes your card personal relevancy based on your KanBo usage and the behaviour of other users around cards. You will also see parts of the card’s content with the highlighted search phrase so you can quickly see why the card has been found. The complete content contained within the card is indexed and searched.
- KanBo Documents – In this section, you will find documents that are or were attached to cards. The results in that section are based on file names only and not content. The results are sorted by the same algorithm as the cards in the previous section since they are related to the context of the cards.
- SharePoint Documents -The results within this section are documents stored on the underlying SharePoint. The SharePoint Search Engine delivers your most relevant documents from the complete SharePoint/Office 365 environment based on the content of these documents. Here you will also see documents that are not yet part of KanBo cards.
- KanBo Users – If the Display Name of a user contains the search phrase they will be displayed here. You can check out additional options on found users like Show Profile or Show MyBoard.
Users can also use the advanced search functionality. Advanced queries can be built out of certain components: operators and fields. This will allow you to get the exact results of a searched keyword as well as to search Cards by their creation date and Due date.
When you have many documents attached to a single card you might get lost especially when the documents do not have precise names. With Document Groups, you can create “sets” of documents to structure them in a way that fits the context within the card. As everything in KanBo just drag&drop documents between Document Groups or to change the order within them – the same applies to the Document Groups itself.
User Groups is a powerful feature allowing you to manage users and their access from a single place. User Groups can be created for any purpose. The most common use cases are departments or projects as well as interdisciplinary teams of experts. Once a User Group is created you can assign it to one or more KanBo Boards at desired access level (Owner, Member or Visitor). From now on you just add or remove users in the User Group management section, based on that setting users will gain or lose access to all Boards assigned to that very User group instantly.
Additionally, you can use CSV files for initial prefilling of User Groups – this is especially handy if you have large number of users in a User Group.
Furthermore, you can utilize your existing Active Directory groups to control access to KanBo Boards.
Sometimes you have boards that represent information or processes that are more complex and slicing Boards into lists is just not enough. That is why we are introducing Card Statuses. By enabling it for a board you can change a predefined status for a card while the card still stays on the same list. You can create as many statuses as you need, give them colours and a specific order. You can use them as Kanban Swimlanes as well in combination with board filters.
Until now you could only work with cards grouped by lists – this is standard Kanban. Now you can change the perspective on how you visualise and work with cards – this is KanBo. We are introducing Board Views. Select the view on your board that suits the way you want to deal with cards – i.e. by User, which shows you the cards grouped by responsible person in a familiar list design. Now moving cards in this view between lists changes the card’s responsible person accordingly to the person that is shown in the list header. There are more views to discover like by Status View (if this functionality is enabled on the Board) or Calendar View.
Very often a single KanBo card is much more than a single task – it is rather consisting of many smaller pieces like sub-tasks. To meet this real-world requirement, we are introducing the Task Lists in Cards. Create as many Task Lists as you need in a single card, assign users to tasks by drag&drop, set due dates (colors indicate overdue tasks) or even convert a single task to a new card. If you copy a task list out of Excel or OneNote and paste it into the new task text filed, KanBo will allow you to create a list of tasks so each new line becomes a single task automatically.
How to keep track of all tasks spread over all cards in a board that are relevant to you? Just use board filters to show you all cards with unfinished tasks you are assigned to directly on the board view. The colors of tasks indicate whether a task is far in future, approaching soon (yellow) or overdue (red).
Card dates / Personal Reminders
As time is the most precious resource we have added more possibilities to deal with dates on cards. We have added a Start date for a card and Custom dates that can be added multiple time with titles representing whatever the dates stand for. Finally, we have added personal reminders. As all other Card Dates are public and visible to all board members, the Personal Reminders are visible only to the user who sets it. You can see them in all calendar views as well as on your MyBoard Calendar View. Again, you can add as many Reminders you need and choose custom names for them.
Using the KanBo Outlook App you can easily attach emails (even with attachments) or create cards out of emails directly from your Outlook Client or in Outlook Online. Now we are introducing the preview of Emails right inside of KanBo without downloading the email first. This feature helps you to stay focused without throwing you out of the card context.
Collapsible elements’ lists
A KanBo Card might contain elements such as Notes, Lists of Tasks and Document groups. In a scenario where your Card contains many of these elements or their contents are quite long, you can collapse each element with a single click.
Collapsing settings for each card are stored separately for each user, because different users can have different focus on the same card. Collapsing helps you focus on what’s relevant to you but still the information of the collapsed elements is shown as a summary.
If you visit a MyBoard of another user you will see placeholders for cards that come from boards where you do not have access to. We have also introduced Board Views here, i.e. you can group cards by Boards they are coming from. With the Add MyCards functionality you can add all cards from all or selected boards where you are responsible for with a single click to your MyBoard. We have massively improved the performance of the MyBoard loading time. Also, some bugs were fixed like closing a board did not remove cards from MyBoards – now it does.
Drag & Drop of users inside of a Card
To make KanBo UI consistent in a way you are using it we are introducing the drag & drop user assignment inside of the Card. This feature empowers the natural user experience flow within KanBo and makes working with it more fun.
Bulk unfollow of Cards
When you use KanBo every day you might end up following hundreds of cards, which again leads to a lot of notifications. In your profile, you find a feature to unfollow cards in a bulk way i.e. to unfollow all cards from an entire board with a single click.
Adding Documents to a Card directly from Search results
Finally, you found the document you were looking for by using KanBo Search. You need it to attach to the card you are in. This is feature has just arrived. Enjoy!
Export Board data into Excel files
Exporting and archiving all information contained by a Board including all comments, actions and documents – basically the complete history ever captured by a KanBo board – might be an important compliance requirement. Additionally, the data should be accessible outside of KanBo. That are the main reasons for the introduction of this feature in KanBo as it is being used by more and more financial institutions.
SharePoint Sync Targets
All KanBo User Groups can have their own, multiple Sync Targets, which synchronize them with SharePoint User Groups.
You can add your custom Sync Targets to your KanBo Groups, which will result in synchronization of their members with SharePoint groups (of Site Collections). You can grant the target SharePoint Groups any permission level on any SharePoint object like Document Libraries, Lists, Sites, etc. This advanced feature allows you a seamless and deep integration of KanBo into your SharePoint regardless whether it is on premises or in Office 365.
KanBo interface is now available in Spanish language. Also, in this version of KanBo we have introduced a translation platform – if you want to have KanBo in your language, contact us. For the companies engaged with translation we offer special discount on licenses.
Configure all KanBo settings using new Setup v2 – it has an automatic and manual setup available. Besides the UI improvement we have refactored the setup process completely to be more resistant when it comes to installations on very complex on premise environments. Now you can even install KanBo on a Site Collection without having the Tenant Admin rights on your Office 365. There is also a button to generate the KanBo Outlook App manifest, which is required for installation of this Outlook Add-In on your Exchange Server (on premise or Office 365).
